Camera-Ready Papers (Final Submission)

Authors of the accepted papers (Full and Short) are requested to submit the final paper by 04th September 2016. Final paper can be prepared and submitted following five easy steps:


Step 1 - Prepare and Revise Your Final Paper

  • The format for articles should follow the IEEE templates (US letter), available at: http://www.ieee.org/conferences_events/conferences/publishing/templates.html
  • Title and abstract must be in English.
  • Full papers should be between 8-12 pages.
  • Short papers between 4-6 pages.

    • Step 2 - Add Copyright information to the first page of the paper

    The appropriate copyright clearance code notice is to appear on the bottom (center) of the first page (see example) of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding.


  • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-5090-6149-5/16/$31.00 ©2016 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-5090-6149-5/16/$31.00 ©2016 European Union
  • For all other papers the copyright notice is: 978-1-5090-6149-5/16/$31.00 ©2016 IEEE

    • Step 3 - Check Your Final Paper

    It is MANDATORY to verify the PDF file of the paper for IEEE compliance before submission. This should be made by using PDF Express.


    Papers that are not IEEE compliant will not be included in the proceedings nor published on IEEExplore.


    How to use the PDF Express

    Create your PDF eXpress Account

    Log in to the IEEE PDF eXpress site


    First-time users should do the following:

  • Select the New Users - Click Here link.
  • Enter the following code for the Conference ID: 39656X
    1. your email address
    2. a password
  • Continue to enter information as prompted.

    • An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.


    Previous users of PDF eXpress or IEEE PDF eXpress Plus need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.


    Check your document with IEEE PDF eXpress

    Click on the website of PDF eXpress and login with your account data.

    After checking your file, you will receive a first e-mail which confirms the PDF eXpress has received your file and after the review a second e-mail with the result of the file check.


    Converting s source files with IEEE PDF eXpress

    IEEE PDF eXpress® converts the following application formats to PDF:

  • Microsoft Word
  • WordPerfect
  • Rich Text Format
  • (La)TeX (A DVI and supported image files must be included in a compressed archive)
  • PageMaker (images should not be embedded, included with main file in a compressed archive).

    • When checked with PDF Express the paper is NOT submitted yet.


    After receiving confirmation of compliance from PDF Express authors have to submit the PDF file approved by PDF Express (the file attached to the confirmation email from IEEE PDF eXpress) through the online OCS system at LACLO 2016.


    IMPORTANT: You should not modify the PDF file approved by PDF Express, that is your final submission file.


    Step 4 - Sign the Copyright form in the OCS system at LACLO 2016

    Enter your account at http://tecdigital.tec.ac.cr/congresos/index.php/laclo/laclo2016 and in the Summary page of your paper, click in the “Review” section, then click the button Copyright Submission and follow the procedure to complete the operation. A PDF copyright document will be created and stored on the IEEE system. The user will have the ability to download the document.

    The main author should complete this requirement for each accepted paper.


    Step 5 - Upload Your Final Paper

    The Final paper should be uploaded on your OCS system at LACLO 2016 account at http://tecdigital.tec.ac.cr/congresos/index.php/laclo/laclo2016. In the Summary page of your paper, click in the “Review” section, then go to the “Director Decision” subsection, and upload your camera-ready paper in the “Upload Author Version” option.


    Please double check the information (submission metadata) that you provide during online submission:


  • title of the paper.
  • name, affiliation, e-mail address of ALL authors.
  • name of the corresponding author.
  • complete mailing address, phone, and e-mail address of the corresponding author.

    • Since this information will be used unchanged in the conference program and proceedings, it is important that you enter them correctly.


    Notes:

  • Registration must be completed to publish your final paper.
  • Your submission will not be completed until you reach the submission confirmation page.
  • All papers should be presented at the conference by at least one registered author.
